Central and Eastern Europe — Poland (Mazowieckie region, Warsaw–Nadarzyn corridor), serving Polish garden retail, nursery and landscaping markets plus CEE distributors in the Czech Republic, Slovakia, Lithuania, Latvia and Ukraine

    Why it matters

Attending Warsaw Garden Expo 2027 on 2027-02-09 to 2027-02-11 in Warszawa lets buyers and specifiers benchmark suppliers, see live demonstrations, and compress months of vendor meetings into one focused trade visit — worthwhile when your category roadmap aligns with the official exhibitor profile.

    Industry trends

Key trends shaping this market and its wider industry.

    01

    Digital buyer journeys

Pre-show digital research and online agendas increasingly shape which exhibitors trade visitors choose to visit.

    02

    Sustainability in procurement

Environmental criteria are becoming a standard part of specification and tender documents in horticulture and landscaping.

    03

    Automation and labour efficiency

Growers and landscape contractors are adopting machinery and software that cut manual labour and running costs.

    04

    Regional supply-chain resilience

Buyers are widening their supplier base across Europe and beyond to reduce dependence on single sources.

    05

    Hybrid engagement models

Suppliers now pair live show demonstrations with digital follow-up to keep commercial conversations running year-round.

European horticulture and garden trade-fair circuit

Book hotels and exhibitor meetings 8–12 weeks ahead; the European garden-fair calendar clusters in January–February for horticulture and June–September for garden retail.

Garden buyers and suppliers sequence Warsaw Garden Expo with the major West European horticulture and garden-lifestyle fairs to compare plant ranges, garden technology and retail concepts across markets. The February slot places the Warsaw show immediately after IPM Essen and before the summer garden-retail season, which suits Polish and CEE buyers placing spring orders.

    Pre-show (November–January)

Fix exhibitor meetings, freight and stand builds for the 2–4 February 2027 show, and align the trip with IPM Essen and the January garden-fair cluster.

    Show week (2–4 February 2027)

Hall walk-throughs at PTAK WARSAW EXPO, live equipment demonstrations, nursery variety selection and CEE distribution negotiations.

    Post-show (spring)

Follow up at the summer garden-retail fairs, including spoga+gafa in Cologne, to close retail and outdoor-living ranges.

Peer fairs in the European horticulture and garden-retail calendar; dates should be checked on each organiser's website before booking travel.

    Visa & entry documents

Check the latest visa requirements and entry guidelines before travelling.

    Visa not required
    ATA Carnet: check with organiser
    TypeWho needs itFeeProcessing
Schengen short-stay (type C) visaTravellers from visa-required countries visiting Poland for up to 90 days for business, trade fairs or tourism — including passport holders from India, China, Turkey and most of Africa and the Middle East—About 15 calendar days as standard; apply 4–6 weeks ahead because consulate appointment slots fill quickly before spring trade-fair season
Polish national (type D) visaVisitors staying longer than 90 days, for example extended work, study, residency or long-term expatriate assignments—About 15 calendar days or longer depending on the consulate and document checks

EU/EEA, UK, US, Canadian, Australian, Japanese, South Korean and many other passport holders enter Poland visa-free for business visits of up to 90 days in any 180-day period. Travellers from visa-required countries need a Schengen type C visa arranged before departure; there is no visa on arrival at Warsaw airports.

    Weather

Warsaw in early February is mid-winter: daytime highs sit at 2–4 °C and overnight lows drop to −4 to −2 °C, with roughly 35–45 mm of precipitation falling as rain, sleet or snow across 10–13 days of the month. Snow cover and slush on pavements around Nadarzyn are common, and daylight lasts only about nine hours with around four hours of sunshine. Pack a thermal base layer, an insulated waterproof coat, hat, gloves, scarf and boots with grip for the transfers between car parks, hotels and the heated PTAK WARSAW EXPO halls.

    Plan for the climate

    Check temperatures and pack accordingly

    Venue connectivity

Poland has fast, widespread 4G and 5G coverage in Warsaw and around PTAK WARSAW EXPO in Nadarzyn, so video calls and live exhibitor demos work reliably. Orange, Play, T-Mobile and Plus all sell prepaid SIMs from Warsaw airport and city stores; visitors who prefer to keep their own number can use an eSIM from Airalo, Holafly or Nomad for Polish data. EU/EEA SIMs roam at domestic rates under EU rules, while non-EU roaming plans are often expensive — a local data package is cheaper. PTAK WARSAW EXPO halls, the press centre and most Nadarzyn hotels provide free Wi-Fi.

    Cultural notes

Useful information to help you have a smooth and respectful visit.

    Tipping and restaurants

Tipping is expected in Polish restaurants and bars, typically 10% rounded up on the bill; check whether service is already added for large groups. Cards are accepted almost everywhere in Warsaw, but keep some PLN cash for taxis, small cafes in Nadarzyn and cloakroom fees.

    Business etiquette

Polish business culture is fairly formal and punctual: arrive on time for meetings, shake hands with everyone present, and use titles plus surnames until invited to switch to first names. Small talk about the venue, horticulture markets or travel is welcome before moving to commercial terms.

    Dress and show floors

Business-smart dress is the norm at Warsaw Garden Expo, with smart casual acceptable on the floor and slightly dressier attire for evening hospitality. February weather means practical outerwear and shoes with grip are essential, and exhibitions are non-smoking apart from marked outdoor areas.

Everything needed to arrive prepared, navigate the event, and make the visit productive.

    Flights

    Destination: WAW

Fly into Warsaw Chopin (WAW) for the shortest transfer to PTAK WARSAW EXPO: LOT, Lufthansa, KLM, Air France and low-cost carriers connect Warsaw directly with most European hubs, with connections from Asia, the Middle East and North America through Frankfurt, Munich, Amsterdam or Dubai. Warsaw Modlin (WMI) offers cheaper Ryanair and charter fares but adds a 65 km transfer, so the saving is only worthwhile on longer trips. Book 6–10 weeks ahead for February travel, favour morning arrivals on 1–2 February so you can reach Nadarzyn before build-up traffic, and allow buffer time for snow-related delays on the return leg.

    Visa

Poland is in the Schengen area. Many nationalities, including EU/EEA, UK, US, Canadian and Australian passport holders, can enter visa-free for short business visits of up to 90 days in any 180-day period. Travellers from countries such as India and China must obtain a Schengen short-stay or Polish national visa before travelling.

Estimated cost: Approximate government fee: about EUR 90 for adults and about EUR 45 for children aged 6-12 for a Schengen short-stay visa, with possible service-centre charges on top.

Processing: Schengen short-stay visas are normally decided within about 15 calendar days, but can take longer in peak periods. Apply at least 4-6 weeks before travel and allow extra time for consulate appointment slots.

Business travellers usually need an invitation letter from the organiser or a Polish business partner, travel medical insurance meeting Schengen requirements, proof of accommodation and return travel. Keep copies of your Warsaw Garden Expo registration confirmation and hotel booking for the consulate.

    Transport

Get to the venue and around the city with these options.

Airport → venue: Primary gateways: Warsaw Chopin Airport (WAW). Allow road or rail time to PTAK WARSAW EXPO; on-site parking is usually available at major exhibition venues.

Hotel → venue: Precinct hotels near PTAK WARSAW EXPO: Kajetany / Nadarzyn, 1.3 km from PTAK WARSAW EXPO: Hotel Park Kajetany; Nadarzyn village, 1.6 km from PTAK WARSAW EXPO: Hotel Villa Renoma; Kajetany, 1.3 km from PTAK WARSAW EXPO: MEDINCUS Active.

Ride-hail: Bolt and Uber both operate across Warsaw, Nadarzyn and the PTAK WARSAW EXPO campus, and Bolt is usually the cheaper of the two for the ~20–25 km run between the venue and central Warsaw at around PLN 60–90. Cars are plentiful during show hours but thin out after 23:00, when a hotel-arranged taxi is more reliable. FreeNow is also available as a third app; pay in PLN by card in-app to avoid cash and unlicensed airport touts.

Public transit: ZTM suburban buses 703 and 711 link the P+R Krakowska park-and-ride in southern Warsaw with the Paszków stop in Nadarzyn, a few minutes' walk from PTAK WARSAW EXPO. They run about every 30 minutes between roughly 05:00 and 23:00 with no night service. A single ticket costs around PLN 4.40–6.60 depending on zone, a 24-hour ticket is PLN 15 for zone 1 and PLN 26 for zones 1–2, and tickets can be bought in the mobile ZTM app or from machines at the interchange. For evening meetings in central Warsaw, plan on a taxi back to Nadarzyn after the last bus.

Parking: PTAK WARSAW EXPO provides large free surface car parks directly beside the halls, with separate areas for cars, coaches and trucks, so drive-in visitors pay only fuel and any motorway charges. Spaces fill first thing in the morning on opening day, and exhibitors with heavy freight should use the marked logistics and build-up access routes. Extra park-and-ride capacity is available at P+R Krakowska, from where buses 703 and 711 continue to the venue.

    Weather

Plan and pack for the event climate.

    Month: February 2027

    Temperature: −4 °C to +4 °C in Warsaw and Nadarzyn (daytime highs 2–4 °C, overnight lows −4 to −2 °C)

Seasonality: February is deep winter in Warsaw: cold and often overcast, with around 38-48 mm of precipitation over roughly 10-13 days and snow possible through the show week.

Packing: Pack for freezing weather: thermal base layers, insulated waterproof coat, hat, gloves, scarf and waterproof boots for slush, plus lighter indoor layers for heated halls. Bring an umbrella and spare power banks; daylight is short, so plan early starts and evening indoor meetings.

    Plan your trip

    Planning

Best day to visit: Wednesday, 3 February 2027 (Day 2)

Day 2 is when Warsaw Garden Expo hits full rhythm: exhibitor stands are fully staffed after the opening-day set-up, product launches and seminar sessions run through the day, and senior buyers from Polish garden centres, landscapers and municipalities have settled into their meeting schedules. Opening day is busiest for badge collection and official visits, while the final day winds down early as exhibitors begin dismantling, so Wednesday gives the best balance of access to decision-makers and unhurried time on the aisles.

    1

Check passport validity and visa need for Poland — Passport should be valid well beyond the show dates; if you require a Schengen visa, book a consulate appointment using the official guidance on gov.pl/web/diplomacy/visas.

    2

Book flights into Warsaw Chopin Airport (WAW) — WAW is about 30 km from PTAK WARSAW EXPO; compare morning arrivals so you can attend the first show day.

    3

Reserve a hotel near the venue or in central Warsaw — Nadarzyn and Kajetany properties sit 1.3-4 km from the halls; central Warsaw options are 20-30 minutes by car via the S8 expressway.

    4

Register online for your free visitor ticket — Register through warsawgardenexpo.com/rejestracja to receive an entry ticket; keep the confirmation for badge collection.

    5

Download the fair plan and exhibitor list — Use the organiser fair plan pages to map halls and mark priority exhibitors across plants, tools, irrigation and outdoor living.

    6

Pre-schedule B2B meetings with exhibitors — Contact target nurseries, machinery and landscaping suppliers and agree meeting times before the show opens.

    7

Book airport transfer or car parking — Fixed-fare private transfers from WAW take 30-50 minutes; visitors arriving by car can use free on-site parking.

    8

Select conference sessions and workshops — Review the programme for sessions on horticulture, landscaping and sector regulation, and note hall and time details.

    9

Plan local transport to the venue — ZTM bus lines 703 and 711 run from P+R Krakowska to the Paszkow stop roughly every 30 minutes between 05:00 and 23:00.

    10

Pack winter clothing and business materials — Expect 2-4 C daytime and -4 to -3 C nights in February; bring thermal layers, a waterproof coat, boots, business cards and meeting documents.

    11

Print or save registration, hotel and travel documents — Keep digital and paper copies of your ticket confirmation, hotel booking, visa documents and insurance in case of checks.

    12

Arrival day: badge collection and venue orientation — Collect your badge, locate priority halls and walk the route to your first meetings so you are ready when the show opens.
